Three routines that run without being asked, one job sent from the truck, and a day where Sam only makes the decisions.
The three routines
Everything in this course happens on a schedule or it happens never. Three routines cover the week, and each one is the prompt from an earlier stop with a time attached. They run in the cloud, so the exports they read have to live in a connected Drive folder rather than the office computer's downloads.
Every day at 6:00
Open today's schedule export in the Jobber exports folder in my Google Drive. Lay the day out as one table by tech: start time, city, job type, booked duration. Then flag every gap over 60 minutes, every pair of back to back jobs in different cities, and the two jobs most likely to need a senior tech. Include maintenance plan visits, which come through as their own job type. Short enough to read on a phone at a red light.
Friday at 15:30
Search my Gmail since last Friday for Google review notifications and Local Services Ads lead notifications. List every review with stars, first name and a one line summary, and draft a reply to each in the voice of my Reviews Project, naming no address and no job details. List every lead with job type, day and whether anyone replied, unanswered first. Save nothing, send nothing, just show me the list.
First of the month at 07:00
Open last month's Local Services Ads leads export and the Jobber jobs export in my Google Drive. Match leads to booked jobs by first name and date, saying where you are unsure. Give me one table: leads received, total charged, leads booked, cost per booked job, average value of the booked jobs. Then name the job types and the cities that are costing me money, and list the leads that qualify for a dispute with the reason and the timestamp.
From the truck
Dispatch, in beta, sends a job from the phone to the desktop and messages back when it is finished. Sam uses it in the ten minutes between the last call and the freeway. Turn on Keep awake in the app on the office machine before you leave.
After the last call
Open the Sherman Oaks estimate on my desktop, swap in the second option we talked about at the door, add the expansion tank line from the price book, save it as a PDF in the estimates folder and email it to me. Do not send it to the homeowner.
