Three routines, one delegated batch, and a capstone that runs a whole retainer month from the calendar row to the invoice.

What repeats

Four things happen every month regardless of what Rami is designing. Briefs arrive and sit. Three batches come due on the same date. Deliveries need their licence pass. Invoices go out and some of them do not come back. None of these need him to be creative, and all of them need him to remember.

Put each on a timer, in the Project it belongs to, and the month stops being a memory exercise.

Three routines

Monday 8:00, weekly: the brief digest
Check my Drive folder "Inbox, new briefs" for anything added in the last seven days. For each brief, give me the scope table with its gaps marked, and the draft questions email ready for me to read and send. Save each one in the client folder and message me a two-line summary per brief. Send nothing.
The 18th, monthly: batch kickoff per client
Inside each retainer Project, open next month's content calendar row and build the asset list with sizes and formats, numbered against the assets that client is owed. Flag every asset blocked on a photo we do not have and draft the request message for each client. Save the lists in the client folders and message me the blocked rows only.
Friday 16:00, weekly: the invoice check
Check my invoice list for anything unpaid past its terms. For each one, give me the client, the amount, how many days late, and a short warm chaser drafted in my voice referencing the invoice number and the work it covers. Do not send them. Also tell me which delivered jobs from this week have no invoice raised yet.

Cowork runs the multi-step assembly on your desktop or in the cloud, with three approval modes. Start on ask-before-every-action and stay there for anything that touches a client.

The batch, delegated
Inside the Lumen Cafe Project, read next month's calendar row, the brand guide and the photo folder. Produce one document: the numbered asset list with sizes, the copy for every asset with brackets where a price or date is missing, the list of blocked assets with the shot described, and the questions for the owner. Save it in the Lumen Cafe folder. Do not email, post or export anything.

The capstone

Run one full retainer month end to end. The 18th: batch kickoff, asset list, blocked rows sent to the client. The 20th to the 24th: copy from the Project, masters designed, Canva resize and export. The 25th: delivery with the licence pass done first. Rounds one and two logged in the change log as they happen. The 1st: invoice with the usage note. When that month closes without a weekend in it, the course has done its job.
