Claude in Chrome on the portals
Four portals the team touches every week, one submit rule that never bends, and the session log that proves who pressed the button.
Why this is a different job at eight people
Last year Nadia did the portals herself and the only rule she needed was to press the buttons personally. Now four people share the logins, and a rule that lives in her head is not a rule.
Four portals carry most of the week: the supplier reorder portal, the state seller's permit and tax filing site, the insurance broker portal, and the CRM web app that has no export worth the name. Claude in Chrome reads what is on the screen and fills fields. It does not know your business, so every session starts by handing it the source of truth.
The submit rule
Claude fills. A person submits. No value threshold, no exception for repeat orders, no exception because it is the fourth identical certificate this month.
The button list is longer than people expect: place order, file, submit, pay, agree, send, e-sign, save payment method, confirm cancellation. If the button does one of those, a human reads the summary line and clicks it. Claude's last action in every session is a summary of exactly what is in the fields and what will happen when the button is pressed.
I am about to work in a portal with you. Before you fill anything: read the page and tell me what this form is for, which fields are required, and which fields you cannot fill from the file I gave you. Fill only from that file. Never click anything that submits, orders, files, pays, agrees or saves a payment method. When the form is complete, stop and give me one summary line per section saying what is in the fields, then wait.
Here is this week's reorder sheet: [paste the reorder sheet from the Monday stock count]. Fill the supplier cart with these lines. For every line, tell me the pack size the portal is using and whether it matches the sheet, since we order by case and they list by unit. Do not adjust quantities to make totals match, flag the difference instead. Stop before the order button.
Open the insurance broker portal, start a certificate of insurance request for the customer and address in this email: [paste the customer email]. Fill only what is in the email and our standing policy numbers file. List any field you had to leave empty and why. Do not touch anything in the billing or payment sections. Stop before submit.
The audit trail
One line per portal session, in a shared file: date, portal, what the session was for, the source file the values came from, what the summary said, who clicked, and the confirmation number. It takes fifteen seconds and it is the only record you will have in March when a supplier insists the order said something else.
