The call, into the CRM
The Zoom transcript becomes a CRM note, next steps with owners and dates, and one honest line about what could kill the deal.
The gap where deals die
Dalia's calls are fine. The forty minutes after them are the problem. She finishes at eleven, has another at eleven fifteen, and the note gets typed at six that evening from memory, or never. By Friday the CRM says "good call, sending proposal" on nine deals and she cannot remember which one had the union issue.
The transcript closes that gap. Zoom writes it for you. Claude turns it into the record you would have written if you had an hour.
What to ask the transcript for
Four things, every time, in this order:
- The note, in the exact format your CRM expects.
- Next steps, each with an owner and a date, split into hers and theirs.
- Direct quotes, with who said them, for the follow-up in the next stop.
- The risk line: the single most likely reason this does not close.
The risk line is the one sellers skip and managers want. It is also the honest part, because a transcript does not flatter you. If the prospect said the word "incumbent" nine times, that is the risk.
Try this
Inside the Offer Project. Attached is the Zoom transcript of my discovery call: [paste or attach the transcript]. Give me, in this order: CALL NOTE (max 150 words, past tense, no adjectives): who was on, the building, current cleaning arrangement, what is wrong with it, what they said they want, timeline, decision process and who else signs. NEXT STEPS: a two column list, mine and theirs, each item with a date. If the call did not set a date, write "no date agreed" rather than picking one. QUOTES: up to five exact lines worth repeating back, with the speaker. RISK: one sentence naming the most likely reason this deal does not close, based only on what was said.
Same transcript. List every question the prospect asked that I did not fully answer, and every commitment I made out loud. Quote each one.
Here are transcripts from my call with the facilities lead and my call with the tenant rep at the same campus: [paste both]. Where do they disagree about scope, budget or timing, and what should I confirm with whom?
