Three routines on a timer, Dispatch from the warehouse floor, and one product taken from six offers to a delivered order.
The three jobs that repeat
Three things in this course happen on the same day with the same files every time, which makes them routines rather than chats. Write each one once, give it a day and a time, and read the output instead of assembling it.
Sunday 08:00, weekly: the receivables digest. The aging export read into the call list from stop 7, with three flags.
Wednesday 09:00, weekly: shipment status. Every open shipment against its checklist and its dates, with what is missing.
First of the month, 08:00: the price list check. The Excel source against the published list, changes grouped, reasons blank.
Open the receivables export in my shared folder. Build the call list in the order I should call, using amount and days outstanding together. Three lines per customer: what is owed with invoice numbers and dates, what was agreed, what to ask today. Then three flags, one line each, of what I should decide this morning. Under 150 words for the flags. Do not estimate what will be collected and do not draft any message that offers a term.
For every open shipment in my shipments folder, one row: purchase order, supplier, shipment type, latest status, documents still missing against its checklist, and the arrival date we are telling the customer. Flag any shipment with no arrival date from the forwarder and any where a document is missing within ten days of arrival. Draft the questions to the forwarder and the broker for those rows only, in English, ready for me to send.
From the price sheet in my folder with the cost and margin columns removed, build the English and Arabic price list, then compare it to last month's published list. Four groups: up, down, new, discontinued, with percentages calculated and the reason column empty. Tell me the five changes a retailer is most likely to ask about. Do not write the announcement yet.
Dispatch from the warehouse floor
Dispatch is in beta. You send the ask from your phone, Claude works on your desktop with your files and your Project, and it messages you back when it is done. The desktop has to be awake with the app open, so turn keep awake on before you walk out to the containers.
What it is good for here: a pro forma built from a fact block you dictate at the loading bay, the shipment pack checked while you are standing at the broker's office, the reorder rows for one supplier pulled while you are counting cartons. What comes back is a draft. The Arabic still waits for you to read it against the English.
