Three routines
Everything in this course happens weekly or more, which makes it a scheduling problem. Set these three and the rest of the course runs without Ramy remembering it.

The Monday renewal digest routine
Every Monday at 7:00am, open the renewal export in the Agency Project folder. Score each account for risk of leaving as high, medium or low with a one sentence reason drawn only from the data. Sort high to low. For every high risk row, draft the outreach email under 120 words with two call time options. Do not send anything. End with a list of any row where the reason came from an assumption rather than a column.
The daily quote comparison routine
Every weekday at 6:30am, check the quotes folder for new carrier quote sets. For each set, build the comparison table by coverage line, the gaps list, and the "Verify against the policy form" list with form numbers. Flag any figure that came from a scan you could not read cleanly rather than reading it. Save each as a draft document. Do not email anything to a client.
Dispatch, from the client's office
Dispatch takes the job from your phone and works while you drive. After a commercial walk-round, before the detail fades, Ramy sends the photos and the voice note.
From the parking lot, right after the visit
Here are my voice notes and photos from a commercial client visit. Inside the Agency Project: write the account note, list the exposure questions I still need answered before I can submit, and give me the submission checklist for this class of business. No names in the output, use Insured A. Leave every figure I did not give you as a bracket.
Capstone: one renewal, end to end
Pick one account renewing in sixty days. In one week:
- Score it in the digest and check the reason in the management system.
- Send the outreach, take the review call, and write the account note the same day.
- Apply the re-market rule. If it triggers, request quotes from two other appointed carriers.
- Redact the quotes, build the comparison table and the gaps list.
- Open the forms and clear every line on the verify list before anything goes to the client.
- Send the comparison email, present the options, and bind what the client chooses.
- Send the new coverage summary the day the policy binds.
That is the whole course on one policy. Do it once and the next renewal takes an hour.
