Schedule and the daily log
The week ahead out of the Buildertrend export, and the day's log out of a voice note on the way off site.
The week comes out of the export
Buildertrend and Procore both export the schedule as CSV. One export a week, dropped in the job folder, answers the question Luis actually has on a Monday: who is on which job, what is booked, and what breaks if one thing moves.
The week ahead across three jobs
[upload this week's schedule exports for all three jobs] For each job: what is scheduled this week, which trade, which day, and whether it is confirmed. Then the critical path, meaning the one task on each job that moves the finish date if it slips three days, and what it drags with it. Then the conflicts: any day where two jobs need the same trade, the same inspector or the same delivery window. Keep it to eight lines a job.
The log at 4 pm
The daily log is boring and it is the record that outlives the job. Weather, crew, work completed, deliveries, visitors, delays. Luis is never going to type it at 8 pm. He is going to talk for ninety seconds on the way off site and send three photos.
The 4 pm log
[record a voice note on the way out and attach today's site photos] Turn this into today's daily log for the Mar Vista addition in my format: date, weather, crew on site by trade and headcount, work completed by area, deliveries received, visitors and inspections, and delays. For every delay write what stopped, what time it stopped, and what it is waiting on. Where the note is unclear, list it as a question rather than filling it in.
The delay is the part that pays
One delay, three audiences
Yesterday's log says the electrician could not rough in because the plumber had not closed the wall. Write that three ways: one line for the log, three sentences for the client update, and a message under forty words to the plumber with the date it held up and the date we need him back. Same facts in all three, and no blame in the client version.
The photos, filed
[upload this week's site photos] Sort these by job and by area, and for each one write the caption a daily log needs: date, area, what it shows, and whether it is progress, a condition we found, or something to send to a sub. List any photo I should keep for a change order or a claim, and say why.
