The shape of a week with eight clients

Farid's week has always had the same three shapes in it. Monday is the sweep, when he finds out how much work each client actually generated. Friday is the digest, when he chases what nobody answered. The first ten days of the month are the closes. Everything from stops 1 to 7 fits inside those three.

The change is which parts he is present for. Fetching files, counting rows, drafting suggestions and assembling packages happen on a timer. Deciding what a row is, whether a difference is explained, and what goes in an email to an owner does not.

Monday: the categorisation batch

One task per client, run overnight, all eight waiting when he sits down.

Monday 7:00, weekly
For each client folder under Clients in my Drive, open the newest uncategorised transactions export. Using that client's chart of accounts and rule list from their folder, suggest an account and a confidence for every row. Write one note per client with the counts, the suggestions table and the rows you could not resolve. Rank the clients by number of unresolved rows. Do not classify owner draws, distributions, loan principal or personal expenses, and do not change anything in QuickBooks Online.

Friday: the questions digest

Friday 16:00, weekly
Across all eight client folders, list every ask-the-client question I raised this month that has no answer recorded next to it, grouped by client, oldest first, with the date and amount. Then draft one short follow-up email per client covering only that client's open questions. Save them as drafts, do not send.

The close, per client

The close from stop 4 is a conversation, so it does not become a routine. What becomes a routine is everything before it: checking that the month's files have arrived.

First of the month, 6:00, monthly
For each client folder, check whether last month's bank export, card export and Shopify payout export are present and cover the full month. List what is missing per client, and draft a request to the owner of any client with a gap. Drafts only.

Cowork for the eight-client close

Cowork is a delegation rather than a conversation: hand it the job, it works through the steps with your files and connectors and comes back with the result. Start with approvals set to ask before every action, then loosen it once you have watched it work through a package you would have assembled yourself.

The package run
Assemble the month-end package for every client that I have marked closed. For each one: the closed P&L and balance sheet, the payout summary, the reconciliation, and the three-paragraph note in my usual format from the exports in that folder. Put each package in the client folder as a PDF. Stop and ask me before creating anything for a client I have not marked closed.
